The Undergraduate Program Administrator works closely with the Associate Chair (Undergraduate) and is responsible for handling all the daily activities of the undergraduate program as the primary resource for all instructional staff and undergraduate students in Secondary Education.
Duties
- Maintains the departmental course master timetable; inputs course, instructor and program information; works closely with Registrar’s Office Exams and Timetabling staff
- Assists department Administrative Team with overall timetable planning and course scheduling for Fall/Winter session and Intersession
- Receives and responds to general telephone, e-mail and in-person inquiries from staff, students and general public
- Reviews program plans of undergraduate students in the Secondary route and advises students regarding course selection; provides registration support to students
- Provides policy and procedural information to instructors and staff on administrative and academic matters including re-examinations, deferred examinations, grade appeals and grade changes
Prepares reports and gathers statistics from database as needed
- Provides advice around discrepancies in the program that require calendar changes and coordinates calendar change submissions
- Coordinates departmental undergraduate award selection process
- Administers student employment programs such as Summer Temporary Employment Program (STEP)
- Coordinates Special Registrations transactions including unique funding requests, alternate delivery and cost recovery, preparation of expense reimbursement and payroll forms; works with financials assistant to track department expense recoveries
- Enters payroll (ePAFs) for contract academic staff, STEP staff and acts as backup for biweekly payroll entry
- Responsible for input, update and accuracy of all undergraduate program information on the department website
- Maintains filing system for undergraduate program materials
- Performs other duties as required
Qualifications
- High school diploma; a post secondary degree is preferred; equivalent combinations of education and administrative experience in a post secondary environment may be considered
- Strong commitment to student services and considerable student administration experience in an educational setting
- Superior interpersonal and oral and written communication skills
- Excellent organizational and time management skills along with established problem solving skills, accuracy and attention to detail
- Computer proficiency using MS Office applications (Word, Excel and Adobe Professional) and internet skills are essential
- Working knowledge of University of Alberta academic policies and procedures preferred
- Experience using PeopleSoft financials (eTRAC) and HCM (ePAF), and Content Management System (CMS) website application would be an asset
